Our client is a Canada-based dental clinic group operating multiple practices across Ontario. Their system of appointments previously involved a lot of phone calls, reception confirmation, and simple contact forms.

Scheduling of appointments was done manually. Spreadsheets were used to follow up. Teleconsultations were done using external tools, which were not integrated into the patient records.

They enjoyed a secure domestic patient base, yet online discovery and digital healthcare search were shaping up as the leading decision-making factors in Canada. Their previous website did not have any organizational service pages, accessibility features or a centralized reservation system.

They wanted an advanced dental website that fulfills the current market expectations. Being new to digital healthcare infrastructure, they asked:

The design of this project had both operational and technical limitations.

  • No Centralized Digital Framework: It did not have a single booking engine, patient dashboard, or reminder system.
  • Telehealth Compliance & Simplicity: Virtual consultations required an encrypted connection and easy use by elderly patients.
  • Accessibility Requirements: The interface was required to be high contrast, have readable typography, be keyboard navigable, and be screen readers.
  • Complex Appointment Logic: Dental surgeries take different time periods. The system was required to handle chair time blocks, emergency slots, and follow-ups.
  • Administrative Overload: The reception workload was augmented by the large number of calls made by people who wanted to make simple queries.
  • Multi-Location Coordination: All the clinics had to have individual availability of dentists, yet report centrally.
