AssetONE Tracking Solution is a school asset management platform that helps educational institutions manage, track, approve, dispose of, and report on physical assets.

The existing AssetONE V2 application had been used for more than 15 years, so it needed an update to improve its functionality, asset tracking, reporting, and approval processes. The client was looking for reliable custom application development to modernize the existing platform and make it easier to manage.

The solution added detailed disposal information, improved reports and dashboards, better rejection tracking, and updated user permissions. These changes helped schools keep accurate asset records, reduce manual work, and manage their assets more efficiently.

Business Challenges

1. Outdated Asset Management System

AssetONE V2 had been developed more than 15 years ago and was being used by multiple schools on their own servers. The outdated functionality limited the ability of schools to efficiently manage modern asset tracking and approval requirements.

2. Limited Disposal Information

The existing disposal process did not capture sufficient information about disposed assets. Schools required additional fields to record disposal methods, financial information, reasons, and responsible personnel.

3. Restricted Reporting Capabilities

Existing reports did not provide all the information required by schools. The system needed to include newly introduced disposal fields and provide more flexible output options for administrative and audit purposes.

4. Limited Asset Status Visibility

The existing dashboard did not clearly display the number of approved, rejected, and disposed assets. This made it difficult for administrators to quickly understand the current status of assets.

5. No Structured Rejection Process

Users could not reject an asset with a specific reason. Rejected assets were also permanently deleted, resulting in a loss of historical information and making future auditing difficult.

6. Inadequate User Permissions

The existing permission structure did not completely differentiate between users who could view approval information and users who could take action. This created a need for more controlled access to approval functionality.

Our Solutions

To modernize the existing AssetONE platform, we enhanced the application with improved asset disposal management, reporting, dashboard visibility, rejection tracking, and role-based permissions.

Enhanced Asset Disposal Management

The disposal module was enhanced with seven additional fields: FAM Code, Method of Disposal, Disposal Carried Out By, Agreed Sale Value, Net Profit/Loss on Sale, Disposal Reason, and an indicator to identify whether the information is required across other schools. These fields provide schools with more detailed information about disposed assets while keeping them optional based on the school’s requirements.

Improved Reporting & Data Export

The reporting functionality was enhanced to include both existing asset information and the newly introduced disposal fields. Users can generate reports and download them in Excel or Word formats or print them directly.

Comprehensive Dashboard Updates

The dashboard was updated to display counts of approved, rejected, and disposed assets. This provides administrators with a clearer overview of asset statuses and enables faster operational decisions.

Structured Asset Rejection Process

A new “Reject with a Reason” functionality was introduced for pending assets. Users can record the reason for rejection, while rejected asset information is retained in a dedicated database table instead of being permanently deleted.

Enhanced User Permissions

User permissions were refined to distinguish between view-only and actionable users. Users with view-only access cannot navigate to or perform actions on restricted approval pages, strengthening application security and access control.

Updated Asset Reports

Several reports were modified to replace existing fields with the new Bridge Code field. The updates were applied to the Fixed Asset Summary, Fixed Asset Details, Asset Audited, and HHT Assets reports to better align reporting with current school requirements.
